At the end of every camp the administration and organisation of the next camp begins.

So what process do the admin team go through, to organise the camp?

In co-operation with the hosts, the site is assessed and then if the Admin team feels satisfied, subsequently booked.

The next stage is finding the mentors, which often stirs great deliberation between those in the Administration, as various names are put forward and then deliberated upon for consideration.

8-10 weeks after a camp, the mentors and administration hold a post-mortem to evaluate the camp, where all those involved get the chance to reflect on the main strengths of the camp – as well as decide the key areas to improve for the following year. Of great importance of course, is the feedback given by the campers of various classes, activities, sports etc; which the team uses when analysing the camp. By December, the administration of the camp begins to confirm with mentors for the camp, setting out the roles required. Two ‘First Aiders,’ the camp Mukhi, the Sweden Connection and a Media Director are identified, and given a full brief.

By March the camp is finalised and campers are invited to apply. The character of each camper is verified, through private soundings within the community, and then acceptance is delivered.

Two months before the camp, the final list of campers is drawn up – the campers are grouped into planets and classes alike, stationery is ordered, lecture notes & quizzes prepared, the menu finalised, the identity tags are produced, the website is set up, and every tiny part of the preparation is completed, so as to create the best camp possible.

Two weeks before the camp, the mentors and admin take part in the mentor training weekend. It is at this weekend, when the mentors are given their final brief, informed of nearly every possibility, given the do’s and don’ts – and it is from this weekend that the administrators create the ‘mentor pair’ for each planet. The administrators aim to observe the mentors in order to find the appropriate balance, and to find individuals that in the camp environment that can bring the best out of each other.

By this time the Sweden mentor email group is in full swing, with up to 60 emails a day. All the mentors have created a detail lessons plan, which has been rigorously verified by the camp administration.
